A useful request for quotation connects the item being purchased with the application, quantity, acceptance requirements and destination. A short, complete schedule is more useful than a long description that leaves essential details open. PatLoc can review a single part reference or a material list covering several equipment families.
1. Keep one identity for every item
Give every line a stable item number. Keep that identifier in the original schedule, clarification replies and any later quotation comparison. For a replacement part, include the full manufacturer reference and the equipment it belongs to. For a specified material, include the exact description, dimensions and applicable project specification.
- Item number, description, quantity and unit
- OEM, model, serial number and full part code where applicable
- Datasheet or drawing number and revision
- Mandatory manufacturer or country-of-origin restrictions
2. Show what is fixed and what is open
Say whether an original OEM item is mandatory or whether an alternative may be proposed. If an alternative is acceptable, identify who will review the technical submission. Keep deviations visible rather than changing a material specification silently. Label preliminary data as preliminary so a budgetary discussion is not mistaken for an approved purchase specification.
3. Define the documents before comparing prices
Ask for the records the customer actually needs. Depending on the item, these may include manufacturer identification, material records, inspection or test reports, calibration documents, origin evidence and packing information. Name the required document, the item it applies to and the point at which it must be reviewed. A general request for “all certificates” leaves too much room for different interpretations.
4. Make delivery priorities explicit
State the destination, required-on-site date and whether partial shipments are acceptable. Distinguish urgent breakdown spares from routine stock replenishment. If a project has several delivery locations, assign each line to the relevant destination. Freight, insurance, customs and handover responsibilities must be agreed in the quotation rather than assumed from a delivery date.
5. Send a manageable supporting pack
Attach the material schedule and the relevant approved datasheets. Remove documents that the recipient is not authorised to receive. Arrange an NDA before sharing confidential project drawings. The PatLoc form accepts up to five permitted files, with a 5 MB limit per file and 10 MB combined. You review your details and selected filenames before confirming Send to PatLoc.
What happens after submission?
Your confirmed enquiry is sent to PatLoc with your contact information and supporting files. The website shows a reference after the email service accepts the submission. PatLoc can then clarify missing information and review the sourcing scope. An enquiry is not an order, and availability, technical suitability and delivery commitments are confirmed separately.
Procurement guidance for preparing an enquiry. The customer’s approved specification and responsible technical review govern product selection and acceptance.
